How to Set Up Automatic Invoice Reminders That Get Paid

Send the invoice immediately with clear due dates and payment details, then schedule reminders before and after the due date. Most late payments are forgetfulness, not refusal.

Have this ready

  • An invoicing tool with automation
  • The client's billing contact
  • Clear payment terms in the contract

Step by step

  1. 1Put the invoice number, due date, amount and payment details on the invoice itself.
  2. 2Send it the day the work is delivered, to the person who approves payment, not only your day-to-day contact.
  3. 3Schedule a polite reminder a few days before the due date.
  4. 4Schedule a second reminder on the due date and a third a week later.
  5. 5Escalate after two weeks with a call and a statement of the account.
  6. 6Add a late-payment term to future contracts if this keeps happening.
  7. 7Reconcile payments weekly so reminders never chase money already received.
Do not threaten legal action, credit reporting or public shaming in an automated reminder. Those claims can be unlawful or defamatory.

I can walk you through it in a Magic Box, show you the exact clicks, or do it with you and keep the recording. You log in yourself; I never see your password.

Common questions

How many reminders are reasonable?+

Three or four over two to three weeks, then a direct conversation.

Should I charge late fees?+

Only if the contract allows it and the law in your market permits it. State it in advance, not after the fact.

What if the client says they never received it?+

Send from a system that records delivery and opens, and confirm the billing address in writing at the start.
