How to Follow Up With a Lead Without Being Annoying

Each follow-up should add something new and ask nothing twice. Two or three touches over a few weeks, then a clear close-out message that leaves the door open.

Have this ready

  • Your original message and its date
  • Something new to add for each touch
  • A record of replies and opt-outs

Step by step

  1. 1Note the date of your first message and what you asked.
  2. 2Wait a few working days, then reply in the same thread adding one new useful thing.
  3. 3Keep each follow-up shorter than the last and restate the ask in one line.
  4. 4Change the channel only if it is appropriate, such as a polite phone call during business hours.
  5. 5Send a final message that closes the loop and says you will stop, with an easy way to re-open it.
  6. 6Record the outcome in your list so nobody follows up again by mistake.
  7. 7Respect an unsubscribe or a no immediately and permanently.
A 'no' or an unsubscribe ends contact. Continuing after either is a legal and reputational risk, not persistence.

I can walk you through it in a Magic Box, show you the exact clicks, or do it with you and keep the recording. You log in yourself; I never see your password.

Common questions

How long should I wait between follow-ups?+

A few working days for the first, a week or two for the next. Anything faster reads as pressure.

Should I use automated sequences?+

They are fine for timing, but the content must still be specific and stop on a reply or an opt-out.

What if they say 'not now'?+

Ask whether a later date is better, record it, and follow up then. Do not keep mailing in the meantime.
